Riverside Surgery selects PCTI’s Docman EDMS and a Kodak i2400 workgroup scanner solution to improve access to patient medical information at the point of care

1,500 Kodak scanners sold into the NHS as part of a long term PCTI relationship

April 25, 2012 – Kodak today announced that Worcestershire-based, Riverside Surgery, has selected an i2400 scanner solution to process clinical correspondence received through the post related to 13,500 patients in its care.

With up to 150 letters received each day including correspondence from hospitals and patients and minor operation consent forms, the Kodak i2400 scanner integrates with PCTI’s Docman electronic document management and workflow solution to provide all clinical staff within the surgery access to patient information directly from its iSOFT Synergy clinical software.

Operating from purpose built premises completed in 1991, Riverside Surgery has a clinical team of 20 comprising seven GPs, five nurses, three healthcare assistants, along with district and practice nurses, health visitors and a social worker.  It serves Evesham and surrounding villages and was presented with a Royal College of General Practitioners’ Quality Practice Award in 2005.

Becky Sparrow, Riverside Surgery’s IT manager, says, “Our existing scanner was slow and end-of-life and needed replacing. Having seen the Kodak i2400 scanner at the national Docman user group, we were impressed by its speed, feature set and potential to save us time and money, with Kodak’s free three year warranty guaranteeing service over time.”

Able to process up to 2,000 pages per day at 30 pages per minute, the compact i2400 Scanner comes with Perfect Page imaging technology and uses next generation dual indirect LED illumination which eliminates traditional lamp warm up time, so staff can scan safe in the knowledge that the very best, crystal clear images will result straight away.

Becky Sparrow adds, “In addition to speed, the Kodak i2400 rotates pages so everything is the right way up, as well as automatically scanning colour pages. Previously we had to photo copy colour documents to improve quality – and then scan them – which was hugely time wasting.”

As patient correspondence is digitised, Docman’s Intellisense OCR software scans key fields – like name, address, date of birth and NHS number – which helps file information quickly and accurately in each patient’s clinical record contained in the Synergy system. Clinicians can then quickly review letters in a consultation with a patient.

Jonathan Wilson, PCTI’s marketing manager, says, “Processing documents using Intellisense takes seconds, with our iWorkflow module then used to route this information to the appropriate GP or member of staff for review within one or two mouse clicks.”

The impact of the combined Kodak i2400 scanner and Docman solution has been a marked improvement in the productivity of the five members of staff in the surgery’s administration team.

Neil Murphy, Kodak’s UK sales manager, says “With a relationship with PCTI dating back  almost ten years, the two companies have worked together on multiple NHS projects where 1,500 scanners have now been sold. High performance, reliability, level of warranty and ongoing service and support is key to the health service and this is where Kodak excels.”

Kodak will be showing its latest document scanners at PCTI’s National Docman User Conference on May 16, 2012 at the Institute of Directors, 116 Pall Mall, London SW1Y 5ED.
